Firelight – Terms & Conditions

These Terms & Conditions apply to all quotations, bookings and catering services provided by Firelight ("we", "our", "us"). By confirming a booking, you agree to these terms.

1. Booking Confirmation

A booking is confirmed only once:

  • We have received your signed acceptance (where applicable); and

  • The required booking deposit has been paid.

Until both have been received, your date cannot be guaranteed.

2. Deposits & Payment

  • A non-refundable deposit of 25% is required to secure your booking.

  • The remaining balance must be paid 14 days before the event.

  • Bookings made within 14 days of the event require full payment at the time of booking.

Failure to pay by the due date may result in cancellation of your booking.

3. Guest Numbers

Final guest numbers must be confirmed at least 14 days before the event.

After this point:

  • Guest numbers may increase (subject to availability).

  • Guest numbers cannot be reduced for the purpose of lowering the final invoice.

4. Catering Service

Our event packages include the services detailed in your quotation.

Unless otherwise agreed, unlimited wood-fired pizza service is provided for 2 hours from the agreed serving time and includes loaded pizza doughballs and Mediterranean side salad.

Service times may be affected by delays outside our reasonable control.

5. Dietary Requirements

We will do our best to accommodate dietary requirements where notified in advance.

Customers must inform us of any allergies or dietary needs at least 14 days before the event.

Whilst we take every reasonable precaution, our kitchen and equipment handle ingredients including:

  • Gluten

  • Milk

  • Eggs

  • Nuts

  • Sesame

  • Soy

  • Mustard

We cannot guarantee any dish is completely free from allergens.

6. Venue Requirements

The customer is responsible for ensuring the venue provides:

  • Safe access for our catering vehicle or trailer

  • Adequate working space

  • Suitable ground conditions

  • Electricity if required

  • Permission for live-fire cooking where applicable

If access is restricted or unsuitable, additional charges may apply.

7. Weather

As an outdoor catering business, we will operate in most weather conditions.

In cases of severe weather that makes trading unsafe, we will work with the customer to agree an alternative arrangement where reasonably possible.

8. Cancellation Policy

If you cancel your booking:

  • Deposits are non-refundable.

  • 30 or more days before the event: no further balance payable.

  • 14–29 days before the event: 50% of the remaining balance payable.

  • Less than 14 days before the event: 100% of the remaining balance payable.

If Firelight is unable to fulfil the booking due to circumstances beyond our reasonable control, all payments received will be refunded in full unless an alternative date is agreed.

9. Customer Responsibilities

The customer agrees to:

  • Provide accurate booking information.

  • Ensure safe access to the venue.

  • Obtain any permissions required by the venue.

  • Inform us of any changes as soon as possible.

10. Liability

Firelight accepts no responsibility for:

  • Delays caused by traffic, weather or events beyond our reasonable control.

  • Damage caused by guests.

  • Food consumed after service has ended or food retained by guests.

Our total liability shall not exceed the total amount paid for the booking.

11. Photography

We may take photographs of our food, setup and event service for use on our website and social media.

If you would prefer your event not to be photographed, please notify us before the event.

12. Intellectual Property

All logos, branding, photography, website content and marketing materials remain the property of Firelight and may not be reproduced without our written permission.

13. Website Use

Information on our website is provided in good faith. Whilst we endeavour to keep all information accurate and up to date, we cannot guarantee that prices, availability or services will remain unchanged.

14. Privacy

Personal information is processed in accordance with our Privacy Policy, available on our website.

15. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
